Contractor inquiry self-audit · reviewed September 4, 2026
What happens after a contractor quote request?
A useful inquiry path does five things: captures enough information to route the job, confirms receipt, assigns a person, follows up with clear stop rules, and records what happened. Use this page to inspect your current path from a customer's phone.
A five-step handoff
The form is the start of the workflow.
- 01
Capture
Ask for the job type, service area, contact route, and only the details needed to decide who should respond.
- 02
Acknowledge
Confirm that the request arrived. State the response expectation the business can actually meet; an automatic receipt is not a human reply.
- 03
Route
Send the inquiry to one monitored inbox, CRM, or shared sheet. Avoid a hidden mailbox that nobody owns.
- 04
Assign and follow up
Name the person responsible. If reminders are appropriate, limit them and stop when the person replies or opts out.
- 05
Record the result
Keep distinct statuses for received, acknowledged, assigned, replied, booked, and closed. Do not count a form receipt as a booked estimate.
Eight checks from a customer's phone
Can your current site answer yes?
Service fit
Can a visitor tell what work you do and whether their job is in your service area?
One estimate action
Is the primary quote or estimate action obvious without opening a menu or zooming?
Reasonable intake
Does the form collect enough to route the job without turning the first contact into a long application?
Visible receipt
After submission, does the visitor see a clear accepted or failed state rather than an endless spinner?
Monitored delivery
Can the team name the exact inbox, CRM, or sheet where every accepted request appears?
Named owner
Does each new request have a person responsible for the next human action?
Stop rules
Do automated reminders stop on reply or opt-out, with consent and provider requirements documented?
Honest measurement
Can you separate received requests from replies, booked estimates, held appointments, and won work?
What the workflow can improve
A clearer path and a reviewable handoff.
- fewer unanswered questions at the first contact
- a consistent place for accepted requests to arrive
- clear responsibility for the next human action
- event states that can be checked instead of guessed
